Cleaning up your iPhone contacts can be quite the chore. With a free iOS app, the process can be far easier and quicker. If you don’t want to use a third-party app, you can manually delete and merge contacts on your computer, but it will take much longer.

The Easy Method

If you don’t mind granting a third-party app access to your contact list, a popular option is Cleaner. It provides a list of duplicate contacts and numbers, makes it easy to delete old contact info, and merges contacts with the tap of a button.

Cleaner will prompt you to sign up for an account to use the app, but you don’t actually need to in order to use these features:

  1. On the home tab, tap Duplicate Contacts to see a list of all duplicate names listed in your contacts. Alternatively, you can tap Duplicate Phones to see a list of duplicate numbers assigned to different names. There is also the option to view Duplicate Emails and Similar Names.
  2. Tap the contact name or number you want to resolve. You can tap each instance to see the contact information associated with each name. If there are numbers you want to delete tap Edit and then tap the red button next to individual numbers to delete them. 
  3. Under Merged Contact (Preview), you can see what the contact will look like once you’ve merged all the contact information.
  4. Once you’ve deleted any outdated numbers, tap the orange Merge button to merge the contacts one by one. If you’re confident that all duplicates need to be be merged, tap the grey Merge All Duplicates button.

The app also has other contact cleanup features including highlighting missing information including no name, no phone, and no email.

The Manual Method

If you don’t want to grant a third party access to your contact list, you can go through the list manually in your iCloud account. You’ll want to back up your contacts first.

  1. Log in to your iCloud account in a browser.
  2. Click the Contacts icon.
  3. Click the Settings cog and click Select All.
  4. Once all your contacts are selected, click the Settings cog again and this time click Export vCard to export all the contacts as a VCF file. This step is to backup your contacts in case you inadvertently delete a contact you meant to keep.
  5. You can then manually go through all the contacts in the iCloud interface, and manually delete duplicate contacts. To delete a contact, just hit the delete button on your keyboard.
  6. To make changes to a contact, click the Edit button and you can add or remove numbers or other contact information.

Siri isn’t just another voice control system; it remembers context and it can understand relationships. That means, for example, you can tell Siri to call your wife’s iPhone, and Siri will know who that is and which phone number to dial. Not only that, but Siri can send iMessages or SMS, and even email any of your friends, family, or co-workers. No matter how you like to communicate, Siri makes it incredibly easy to stay in touch.

How to establish contact relationships with Siri

Siri will need to either learn who your wife, best friend, boss, or other relationships are before it can associate them with the proper contact. You can edit the Contact to enter that information, but what fun is that? The easier, faster way is simply to tell Siri what your relationships are.

  1. Press and hold down the Home button or say, “Hey, Siri” to activate Siri.
  2. Tell Siri about a relationship. For example: “Rene Ritchie is my boss” — make sure you say the name exactly as it appears in your contacts. 3.Say or tap Yes when Siri asks you to confirm. Siri will confirm that the relationship has been added.

Note: You will first have to establish who you are to Siri. This is done by changing your info in Siri’s settings.

This works great for unique relationships but for relatives that have simliar titles, it can be a problem. If you have two daughters for instance, you’ll need to assign them each a distinct relationship for Siri to differentiate between them. You can, of course, use things like “oldest daughter” or “youngest daughter”.

How to manually add relationship data with the Contacts app

When Siri does get confused by multiple relationships, it is possible to manually add in the proper data in your Contact card so that Siri can make use of it.

  1. Launch the Contacts app.
  2. Tap on your contact card
  3. Tap the Edit button in the top right corner of the screen.

  4. Scroll down and tap add related name.
  5. Tap the relationship type (by default, it will be “Parent”).
  6. Select a relationship type. You can also create a custom label.

  7. Tap the information button next to Related name. It looks like a circle with an “i” inside it.
  8. Select a contact.
  9. Tap Done in the upper right corner when you are finished.

Siri will now remember that relationship. When you say something like, “Call my brother,” Siri will call the contact connected to that relationship.

Privacy warning

Any relationships you add to your contact card are now part of that card which means if you send someone your contact card, all of your relationships will be part of that information. You can also create a second, relationship-free contact card to share with others.

How to get contact information with Siri

Siri can quickly find you the Contact information for anyone on your iPhone – far more quickly than tapping, scrolling, and visually picking them out typically allows.

  1. Press and hold down the Home button or say, “Hey, Siri” to activate Siri.
  2. Tell Siri the contact information you want to see. For example, you can say, “When is Amanda’s birthday?” or “Show me Amanda’s information.”
  3. If there is more than one person matching your request, Siri will ask you to confirm which contact you’d like information for.

This only works if the person’s contact card already has the information listed. For example, if you don’t have Amanda’s birthday on her contact card, Siri won’t know what it is.

How to call a contact with Siri

Siri can place calls to someone by name, or simply by relationship, and to any phone number you have. It works especially well when driving.

  1. Press and hold the Home button or say, “Hey, Siri” to activate Siri.
  2. Tell Siri who you want to call. For example, you can say something like “Call mom”.
  3. If the contact has more than one phone number, Siri will ask you which number you want to call. If you know you want to call to someone’s work or mobile phone, you can make it faster by saying “Call mom at work” or “Call mom’s iPhone.”

The call will take place as soon as Siri is prompted. So, make sure you really want to call someone.

How to send an SMS or iMessage with Siri

Siri can quickly and conveniently compose SMS and iMessages either to a single or multiple recipients. Just like calls, it’s especially useful when driving.

  1. Press and hold the Home button or say, “Hey, Siri” to activate Siri.
  2. Tell Siri you want to send a text message to someone. For example, you can say something like “Text Heather I’ll be late for dinner”. If you don’t say the contact or relationship immediately, Siri will ask you for a phone number, contact name, or iMessage-associated email address.
  3. Tap or say Send when Siri asks you to confirm the message. If you’re not happy with the message, say “change it” to re-dictate it, or tap or say Cancel to abandon it.

How to send an email using Siri

Messaging with Siri is not limited to just sending text messages; Siri can also send emails, both to individuals and to multiple recipients.

  1. Press and hold the Home button or say “Hey, Siri” to activate Siri.
  2. Tell Siri you want to send an email to someone. For example: “Send an email to Heather” or “Email Chris and Bobby”. If the contact has more than one email address, Siri will ask you which address. If you know you are sending an email to someone’s work address, you can make it faster by saying “Send an email to Leanna at work.”
  3. Tell Siri the subject of the email. For example: “Apps”, “Lunch”, or “Vacation plans”
  4. Tell Siri the content of the email.
  5. Tap or say Send to send your email.

If you’re not happy with the email, instead of confirming it, say “change subject”, “add”, or “change message”. You can also tell Siri to “cancel” to abandon the email completely.

  1. Press and hold the Home button or say “Hey, Siri” to activate Siri on your iPhone.
  2. Say something like Check my voicemail or Do I have any voicemails?

LinkedIn used to have its own business card scanning app, CardMunch, which served a useful purpose in a world where paper cards simply refuse to die. But that app was shut down back in 2014, with LinkedIn suggesting users move to Evernote instead. Today, Microsoft is bringing back business card scanning – but this time, not with a dedicated card scanner app, but with its multipurpose, A.I.-powered camera app, Microsoft Pix.

Since its launch in 2016 as an iOS app that helps you take better pictures, Microsoft has increasingly found more productivity-related uses for Pix. In September, for example, the app was updated to include a way to snap better photos of documents, post-its, whiteboards, and yes, business cards.

But with today’s update, Pix’s business cards smarts are being upgraded – this time with a LinkedIn integration. In the latest version of the iOS app, Pix includes a new business card feature that will add new contacts both to your iPhone’s address book, as well as to your LinkedIn account.

To take advantage of this option, you just launch the app and point it at the business card. Pix then automatically detects what it’s seeing, and asks you if you want to “Add Contact” or “Find on LinkedIn.”

When you tap to add the contact, Pix captures and organizes the contact information – like name, phone, address, and URL – into the correct fields, and adds the newly created contact to your iPhone’s Contacts app. If you opt for LinkedIn, you’re able to view the person’s profile in the LinkedIn app on your iPhone, and optionally add them to your list of connections.

The business card scanning feature, like others in Pix, leverages A.I. technology under the hood to enhance and improve the image. In the case of business cards, Pix is able to detect the edges of the cards, sharpen focus, and tweak the angle of the photo to render the image in a straight-on perspective so it can extract the information from the card.

The Pix update is just one of several ways Microsoft has integrated with LinkedIn since acquiring the company for $ 26.2 billion in 2016. It has also tied LinkedIn into its other products, including Office 365, Outlook.com, Dynamics 365, Word, and Windows 10.

The updated version of Microsoft Pix is rolling out today. You may not have it yet, as it has to propagate across the App Store, so keep your eyes peeled.
